01 / The problem

Meal vouchers had to serve three audiences at once: simple access to meals for employees, reliable validation and fast payment for restaurants, and a clear view of consumption and costs for the administration. The existing system (SenPass) didn't link vouchers to payroll or restaurant payments, and couldn't cope with network outages at peak hours.

02 / The solution

An employee app (monthly pass, personal QR code, ordering the dish of the day, transferring tickets to colleagues, history, notifications), a restaurant app (burst and offline scanning, dishes of the day, orders, sales) and a web back office for the administration: account approval, real-time consumption tracking, payroll export per company, restaurant payments and an audit log.

03 / Architecture

Architecture

Mobile apps in Flutter (iOS and Android from one codebase), a Next.js web back office, a Laravel API, a MySQL database, Redis caching and scheduled jobs (monthly ticket generation, reminders). Push notifications through Apple and Firebase. Hosted on a VPS managed by APROSI with Docker containers, HTTPS and automatic backups.

04 / Technical challenges

Technical challenges

  1. 01Burst scanning for queues, and an offline mode that syncs scans when the network returns
  2. 02Validating and debiting a ticket in one second, with a clear refusal when it's already used or expired
  3. 03Linking consumed tickets to employee payroll and restaurant payments, with no re-entry
  4. 04Security: accounts approved by the administration, lockout after 5 failures, rate limiting, right to erasure

Results

  1. 01Employee and restaurant apps, back office and server deployed in production; app published on the App Store
  2. 0284 automated tests (66 server-side, 18 mobile) and load tests before going live
  3. 03Proposed to management to replace SenPass, with 13 additional features

Lesson learned

“An internal tool is judged in the field: the real challenge wasn't the QR code, but a lunchtime queue with a network that drops. Burst and offline modes were designed for that exact moment.”
